We are currently recruiting an Assistant Contracts Manager (M&E) to join the Mechanical and Electrical team. In this role, you will assist the Repairs & Maintenance Contracts Managers (Mechanical & Electrical) to provide, plan and coordinate external suppliers to manage Gentoo’s statutory, regulatory and compliance responsibilities. You will also support the Contracts Managers to ensure all relevant servicing, repairs, testing and remedial work is tracked and completed and certification validated and updated. Supporting and undertaking (in collaboration) quality assurance/quality control checks to a defined percentage of suppliers' work to provide robust site management together with technical advice is a key element of this role. You will support the performance of Gentoo’s suppliers in delivering specialist works in a safe and compliant manner, delivering value for money, health and safety excellence while ensuring programmes are delivered to the required time, cost and quality standards.

The role is subject to a basic DBS paid for by Gentoo.

Assisting in ensuring that Gentoo’s Compliance statutory obligations and regulatory undertakings are delivered with regards to servicing and remedial works, but not limited to:
Passenger Lift Servicing & Thorough Examinations
Fixed Mechanical Equipment Servicing & Through Examinations
Fire Fighting Equipment
Laundry Equipment & Ventilation Systems
Automated Gates, Barriers, Doors, Generators/UPS systems, Warden Call & HVAC
Lightning Protection Systems
Any other specialist Mechanical & Electrical Systems

Supporting the management of the performance of Gentoo's Contractors to deliver value for money, health and safety excellence whilst ensuring programmes are compliant with the required standards, Regulations, time, cost, and quality requirements.

Undertake as required, on site assessments of Contractors Quality Assurance and Quality Control processes and the checking of the competency of qualifications of their staff.

Collaborate with colleagues in Gentoo to deliver the organisations requirements in relation to Mechanical & Electrical services ensuring that all undertakings in relation to servicing, testing and inspection are delivered effectively.


Where required, review contractor Risk Assessments and Method Statements, including managing relevant Permits to Work to ensure compliance with Health and Safety requirements.

Act as Duty Manager as part of the Group’s emergency out of hours service (EOHS).

Ensure all services provided are delivered in line with the Group’s cultural values.

Mechanical or Electrical (M&E) background, minimum of Level 3 NVQ / Technical Qualification. With the proven ability to manage contracts, contractors and health & safety within maintenance projects.

SMSTS, IOSH or equivalent qualification is desirable, previous work experience must be able to demonstrate the ability to manage contracts in line with current CDM Regulations.

Full UK Driving License
Demonstrable knowledge of compliance areas within Mechanical and Electrical disciplines.
Demonstrable knowledge of CDM (Construction Design Management) Regulations and other related housing regulations/legislation and how they apply within the context of statutory health and safety compliance.
It is desirable to have experience in assisting with the management of health and safety compliance within the social housing sector.

You will be able to demonstrate experience in the management of contractors’/in-house performance and health and safety on all projects and demonstrate excellent negotiation and challenge skills to resolve any issues.

Experience in assisting with the effective management and administering of contracts. With proven experience in supporting high-performance teams, operating at a similar level within a diverse organisation.

Knowledge of assisting in the monitoring, reporting and presentation of management reports with contract performance.
